HOSTEL POLICY

The hostel at GMS Pharmacy College is designed to be a home away from home for our students. It is expected that all residents maintain an atmosphere of complete harmony, brotherhood, and camaraderie. This spirit of unity and mutual respect is integral to fostering a supportive and congenial living environment.

HOSTEL POLICY

  • Admission to the hostel at GMS Pharmacy College is granted on a first-come, first-served basis, as managed by the University Academic Cell. Each hostel seat is allotted for a single academic year. Requests for any changes in hostel rooms must receive prior approval from the University Academic Cell. After the academic year, which is either the 30th of June or the last day of the end-term examination (whichever comes first), students are required to vacate their hostel rooms along with all their belongings.
  • Allotment of hostel seats for subsequent academic years is based on a combination of merit, attendance, and availability. It is important to note that hostel room/seat assignments may change from year to year by University Policy.
  • For admission to the hostel, nominating a local guardian is mandatory. This guardian must be readily accessible to the Hostel Authorities for contact in emergencies.
  • Upon allocation of a hostel seat, students must obtain their Hostel ID cards. These ID cards should be carried at all times to verify identity when required. Please be aware that if a student fails to maintain a minimum of 75% attendance in their program (cumulative for that particular academic year up to the cutoff date decided by the University), or in cases of withdrawal from admission, expulsion from the University, or non-payment of any University dues, the hostel seat will be automatically forfeited. Under these conditions, the student will not be entitled to any refund of proportionate fees.

Hostel Leave Policy

  • Outpass Forms: Hostel residents must obtain outpass permission using the prescribed format only. All relevant sections of the outpass form should be filled out legibly and completely. Incomplete forms will be summarily rejected. Outpasses are issued only twice a week.
  • Sanction Requirement: No student may leave the hostel without the prior sanction of an outpass by the Hostel Warden.
  • Adherence to Timings: The out-time and in-time specified in the outpass must be strictly followed. In case of any exigency that prevents students from returning as per the scheduled date, a written confirmation from the Parent/Local Guardian must be sent via fax to the Hostel Warden. Failure to provide this information will result in strict disciplinary action.
  • Night Out Forms: For night out permissions, the prescribed Night Out Form, duly signed by the Parents/Local Guardian, must be submitted to the Hostel Warden. Night Out Permissions: Night out permission will be granted on Saturday nights/holidays only, with prior approval from the Parents/Local Guardian. The form must be submitted at least two days in advance via fax or scanned copy to the University administration or specified fax number/email address. Students are responsible for collecting the fax/email from the office and submitting it to the hostel for processing.
  • Local Day Outings: Local day outings are permitted on Sundays using the University Bus only. Hostel residents must go out and return to the hostel by the University Bus on Sundays. If the bus service is not utilised, regular outpasses may be issued within the quota of two outpasses per week.
  • Vacation Leave: Hostellers taking leave during University vacations must provide clear address and phone details of their intended residence.
  • Special Leave Requests: For leaves other than those mentioned, a request letter from parents is required for the approval of the Vice Chancellor.
  • Additional Coaching or Courses: Students wishing to join additional coaching classes or courses for competitive exams or software packages must obtain prior approval from the competent authority. This requires attaching relevant documents, such as a letter from the coaching centre/institute, a letter from parents, and fee receipts for the course/classes.
